Re: purging banner information.

We have had to purge some of our registration and student accounts records, because the amount of data stored in the system was causing issues. I am only aware of doing it once and the information was 12 to 13 years old, so it was nothing very recent.

Charity,

I do know of instances where the 4MSU campuses have some purging because it clogs the systems.

This is a relevant topic and I know at a past AACRAO, electronic records retention was a hot topic.  I don’t have any best practices to offer… but I do have a cautionary tale for one process least it save anyone else heartache (and the issue may well have been remedied by now).

We had an experience once with banner (one we laugh about now, but did not at the time) where we tried to remedy an issue by utilizing the schedule purge.  At least at that time, there was some fine print that indicated if we used the function and didn’t have registrations in the course schedule for future terms….. it wipes out the entire course schedule (no classes, no caps, no rooms, no instructors, no nothing…).  Not having read the fine print until afterwards……………..   G-O-N-E.  We had to literally sequester staff for weeks to retype every single detail in the course schedule for upcoming terms.  I’m gonna go ahead and NOT recommend that action.  J  So – the nervousness is not bad because it will encourage a thorough review before causing something unrecoverable.

I’ve been studying the banner manuals a little bit and read various processes regarding purging certain records (class schedules, registrations ect).  Are any of you currently purging any banner records?  If so which purges are you using and what types of processes have you set up to make sure no vital data is lost (purging after certain time frames, exporting data for electronic storage?)  What are your best practices?

Re: [!!Mass Mail]purging banner information.

Because we have electronic filing, we don’t purge any documents.  We do an audit to make sure that each paper document really appears in the electronic file, and then we shred the paper.  The electronic system is backed up regularly.

To my knowledge, we don’t purge anything from BANNER.

Fall MACRAO Dates

So based on the feedback it looks like we are looking at October 22-23rd for the Fall MACRAO meeting.

Before we officially put that date on the calendar, one person did mention that there is a “Counselor Updates” occurring on the 22nd.  Is this a major conflict for us as a whole?

Degree Name Change

Thanks to those of you who responded to my question but for now let’s leave as is until we can show if/how the requirements might change with the name change.  Our two degrees have somewhat different requirements so it isn’t fair to ask you to respond as to how these would transfer until you know if the degree requirements will change as well.

Thanks again.

FW: [!!Mass Mail]FW: General Associate's Degree

After thinking about this some more, I don’t think my original question was worded very well.   Could we repost this?

Thank you for your responses!  Our question is about a name change only, without changing our suggested courses of study for transfer.  FVCC works closely with the transfer schools to prepare students for transfer in specific disciplines.  Our transfer programs list the courses required to prepare students to enter a particular Bachelor’s program as a junior.  For example, if a student follows the Biology transfer to MSU curriculum, their transcript would include the courses listed on that page.  Our question is, if there were two identical transcripts (that looked like the biology transfer, for example) and one said “Associate Degree” and the other “Associate of Science Degree,” would the name of the degree make a difference in how the student is admitted?

Common course numbering should have established course equivalencies for transfer, so we are wondering if a degree name change would pose any challenges for our transfer students.

Thanks again for taking the time to consider this!

I concur that an AS would be necessary for our BS programs at Montana Tech.

Dena,

I’ve never started the list serve for MACRAO before but would like to send out the email below to the members of MACRAO to get their feedback on what we are purposing.  Can you help me get this out?

There has been some preliminary discussion at FVCC about offering just one general Associate’s Degree, rather than both the Associate of Arts and Associate of Science degrees that we currently offer.  We would like some initial feedback about whether or not transfer students would be at any disadvantage by holding a general associate degree versus an AA or AS.

The benefits to offering just one Associate’s Degree include simplifying graduation requirements, streamlining the General Education curriculum, providing more flexibility in students’ schedules, and facilitating graduation in some programs.  Would you please help us identify any disadvantages that might exist for students if we offered just one general Associate’s Degree?

Thank you!

In my mind, those students who are intending on transferring on for a Science or Math directed program should have that A.S. degree instead of an A.A.  For us that is heavier on those particular subjects.  I’m not sure what affect that would have on the four year institutions.
