INCOMPLETE
An Incomplete (I) grade is issued at faculty discretion when student course work has been satisfactory, but unavoidable mitigating circumstances have prevented the student from completing the course.

After consulting with the instructor of the course, a student must make a formal request for an incomplete grade by completing the Request for an Incomplete Grade form, stating what unavoidable mitigating circumstance(s) prevented completion of the work and proposing the conditions under which the work will be completed. If a request form does not accompany the final grade, the student will be issued a Not Recorded (NR) grade until the proper paperwork is completed and submitted to the Records Office. If the instructor approves the request, the student will have until the end of the following
semester to make up the Incomplete. If a student fails to make up an Incomplete within the allotted time, the incomplete grade will be converted to an "F". The Division Director will approve all Requests for Incomplete Grades before they are submitted to the Registrar for posting. The Department Chair or Division Director must be given all information necessary to do final grading for the student as backup for the instructor in case he/she is not available to do the grading at the appropriate time.

Incomplete

An incomplete ("I") grade is given when, in the opinion of the instructor, there is strong probability the

student can complete the course without retaking it. In all cases, the "I" grade is given at the discretion of the

instructor within the following guidelines:

 

• The student has been in attendance and doing passing work up to three weeks before the end of

the semester;

 

• The student is unable to complete the requirements of the course on time because of extenuating circumstances, i.e., illness, death or illness in the immediate family, family emergencies, or military orders;

 

• The instructor sets the conditions for the completion of the course work including the time period within which the work must be made up (Due date for make-up);

 

• The instructor prepares an "I" Grade Authorization form which specifies the course work that must be made up as well as the time period within which the work must be completed. A copy of this form must be attached to the instructor's grade roster;

 

• An "I" grade shall be made up within 12 months from the end of semester the "I" grade was assigned unless the instructor sets a shorter time period;

 

• An "I" grade converts to a failure ("F") if it is not made up by the due date;

 

• The "I" (incomplete) must be completed/made up through the instructor who assigned the "I" grade; the instructor changes the grade with the Grade Change Form which must be submitted to the Admissions and Records Office.

MACRAO Group,

 

We have had issues of faculty members giving "I" grades (incomplete grade) to students and then requesting that the student "sit in" on the same class the following semester in order to make up the work necessary for their "I" grade. These students are not registering for the course in any sense and I am therefore unable to track accurate capacities for the courses.  Additionally, it is my understanding that if a student wants to "sit in" on a course then they should ACTUALLY register for the course and be repeating that course whether it is for credit or as an audit. This would require a grade that is allowed to be repeated and replaced. Since "I" grades are temporary they would not be considered repeatable.

 

Our current policy is not detailed enough to really prevent this type of situation from happening.

 I have some concerns with this and wanted to reach out to all of you to gain some perspective on your current policies regarding "I" grades and if they are considered repeatable grades. I would also appreciate any insights into this type of situation that you may have.
