All – please take a moment to review this.  The task force is meeting next week (while many of us are at AACRAO).  After that meeting and upon approval at the BOR meeting in May our ability to influence the implementation of PLA across Montana will be diminished.

Items from MACRAO meeting

Good afternoon-

Thank you to those of you I met at the MACRAO meeting in Billings last week for the opportunity to share with you some of the things I’m working on in IT at OCHE.  For those on this list I haven’t yet met, I look forward to seeing you at another event in the future.

 

I mentioned at the meeting that I am using a new software product called JIRA to track projects and issues related to the Student and Finance Data Warehouses.  It is my hope that all requests for service will be routed and tracked for future reference.  If you are responsible for any area of the Student Warehouse on your campus, please get in touch with me directly at jthunstrom@mso.umt.edu.  I’ll get an account set up for you and provide you with some additional information to get you up and running with it.  I would appreciate any information regarding others on your campus who may need accounts that wouldn’t be on this listserv as well.

 

I also mentioned that UM has requested a change to the way International Students are being coded.  This request is cataloged in JIRA as issue SDW-4.  Two of the changes require adding a column to accurately reflect the Nation Code in the Grad and Admissions tables.  I would very much appreciate any feedback to determine if these changes would be appropriate for all campuses.  Ideally, we could standardize around the codes, but I am open to being campus specific if need be.  The most important thing is having accurate information available in the warehouse. 

 

One other topic of discussion was in-state status exception coding for Veterans.  I mentioned the possible use of the SGRVETN table (Veteran’s tab on SGASTDN) to record participation in the program.  My thought at this point would be to have a record with an agreed upon code in the table (Z perhaps?) using the 999999 term code, which would allow other chapter information to be stored in the table on a term by term basis if necessary.  If the student is deemed ineligible at some point, the record would be removed from the table.  Any thoughts on whether this would work for your campuses?

MSUB has only a spring ceremony.  Summer grads can essentially choose.

 

·         Students who apply by the November deadline (even if finishing summer) are included in the program and walk in April/May. 

·         Students who do not, are included in the future year program and walk the following April/May

 

We have always permitted fall grads with P/NP coursework (which used to amount to student teaching) the opportunity to walk the previous April/May.  Still do.

 

Others are on a case by case basis.  I see maybe 3 requests/year.  I have seen a slight uptick with International students who find it a hardship to return to the States for ceremonies.

Montana Tech does not allow future Fall graduates to participate in the Spring commencement.  We have a small, informal “Graduate Recognition Ceremony” at the end of Fall semester.  We then invite the past Fall, current Spring, and future Summer graduates to participate in the Spring commencement.  Next Fall’s grads can participate in their Graduate Recognition Ceremony or wait until next Spring.

At Carroll, we allow December graduates to participate in either May commencement ceremony – I would say more students choose to participate early rather than waiting, but often it depends on when their friends are walking and which graduating “class” they want to identify with. Allowing them to choose between ceremonies creates a bit of a headache, but if we didn’t I think we’d be in your situation having to grant a bunch of petitions.

 

July grads almost always participate in the May ceremony prior to finishing up in the summer.

Hi Charity,

UM-Missoula allows any student to attend Commencement. Our ceremony is too big to create any formal order of students. Our Commencement bulletin only contains graduates of the previous autumn, current spring, and following summer. A student graduating in autumn 2015 would not appear in our bulletin, but they are still allowed to walk. We think more and more students are attending Commencement early so they do not have to make the trip back to Missoula the following spring.

C-Grades

Generally, all classes are accepted at a C-. All general education requirements are fulfilled. Departments have the discretion to require different grades to fulfill major requirements. Our catalog language for letter grading is below.

 

Traditional Letter Grades represent an assessment of the overall quality of work performed in a given course. A-Excellent; B-Good; C-Satisfactory; D-Poor, F-Failure. Other grade symbols used are: I-Incomplete; N-work on the course may be continued in later semesters (when work is completed, the final grade assigned applies to all semesters of the course); NF-no record of academic performance; W-withdrawal from a course or course dropped after the fifteenth instructional day; WP-course dropped after the forty-fifth instructional day with passing work; WF-course dropped after the forty-fifth instructional day with failing work; AUD-auditor registration. (AUD is recorded for all students who register in courses as auditors, intending to listen to the courses without earning credit or being graded. The same fees are assessed as when registering for credit. Any attendance or participation expectations are established by the instructor of the course. If attendance expectations are not met, the instructor may request a notation be placed on the student's academic record indicating attendance was not satisfactory.) Remedial courses do not count in credits earned, nor in grade point averages, nor do they count toward graduation.

 

Repeat Policy

Any class with any grade can be repeated. Below is our catalog language for repeats.

 

Initial grades will be marked as repeated and remain on the transcript, but they will not be used to in the GPA calculation.  Grades of AUD, I, N, NC, NCR, NP, NF, W, WP, or WF may not be used to replace grades. An F grade will be used to replace grades.  If the last grade received is an F, no credit is given for previous passing grades. All courses repeated remain on the permanent record but only the last grade received is used to determine credits earned. Only the last grade received is used in calculating the grade point average.

If students receiving federal financial aid repeat a course previously passed they can only receive financial aid to do so a second time. On a third attempt the course will not be counted in the enrollment status for determining aid eligibility.

If enrollment in a course is closed, a student who is repeating or auditing the course may be required by the instructor to drop the course. This rule grants enrollment preference to those students attempting to register for the course for the first time for credit. It is the responsibility of the student who is not allowed to remain in the course to formally drop the course to avoid a failing grade for that course.

Unfortunately, I will not be able to join you in Billings this spring, but I had a few questions and was hoping to hear from some other institutions about what they do regarding the following --

 

C- Grades

We are converting to a +/- grade scheme (fun stuff!) and are trying to figure out what to do with our C- grades. A number of our departments require students to have a C or better in courses for either prerequisite or major requirement reasons. We're now debating whether a C- should count as meeting those requirements.

 

·         How many of you allow a C- to count toward "C or better" prerequisite or major requirements?

·         How many of you allow a straight C (2.0) and nothing lower to count in these situations?

o   In this case, are students allowed to repeat courses where they earned a C- under your repeat policy?

o   Do you transfer in courses with C- grades?

 

Repeat Policy

We currently allow students to repeat classes with D or F grades, and the most recent grade is the one used. As mentioned, we are converting to a new grade scheme and are thus looking again at the pros and cons of this policy.

 

·         How many of you have a repeat policy where the most recent grade is the one used in the credit count and GPA?

o   What do you do when a student repeats a course but then withdraws?

o   For example, a student takes a class and gets a D the first time, then takes it again but ends up with a W – do you go back and restore the credits and GPA points from the D, or do you leave it alone and let the W stand?

 

·         How many of you have a repeat policy where the best grade is the one used in the credit count and GPA?

o   How often to students repeat the course and do worse? (e.g. D to an F)

C-Grades

Generally, all classes are accepted at a C-. All general education requirements are fulfilled. Departments have the discretion to require different grades to fulfill major requirements. Our catalog language for letter grading is below.

 

Traditional Letter Grades represent an assessment of the overall quality of work performed in a given course. A-Excellent; B-Good; C-Satisfactory; D-Poor, F-Failure. When assigning traditional letter grades, instructors may, at their discretion, utilize the symbols + or -. Use of the + or - will be limited to A-, B+, B-, C+, C-, D+, and D-. Other grade symbols used are: I-Incomplete; N-work on the course may be continued in later semesters (when work is completed, the final grade assigned applies to all semesters of the course); NF-no record of academic performance; W-withdrawal from a course or course dropped after the fifteenth instructional day; WP-course dropped after the forty-fifth instructional day with passing work; WF-course dropped after the forty-fifth instructional day with failing work; AUD-auditor registration. (AUD is recorded for all students who register in courses as auditors, intending to listen to the courses without earning credit or being graded. The same fees are assessed as when registering for credit. Any attendance or participation expectations are established by the instructor of the course. If attendance expectations are not met, the instructor may request a notation be placed on the student's academic record indicating attendance was not satisfactory.) Remedial courses do not count in credits earned, nor in grade point averages, nor do they count toward graduation.

 

Repeat Policy
