Re: Official Transcript Question

Montana Western date stamps official transcripts with the date the transcript was received in our office.  We do not keep the envelope, or the transcript request forms that some campuses enclose with the transcript.  If the transcript is received from the student and it is not official, we make note of that directly on the transcript.  Around Mid to late October, we will go through our files and find out who has registered for classes and forward the registered student files to the Registrar's Office.  Students who did not register or complete their Admissions Files are withdrawn from admissions and kept for 3 years.

Hope this helps :-).

Good Morning,

We would like to know your institutions procedures in handling incoming official academic transcripts.

Does your Admissions Office record/document receipt of the transcript within your system?  Does Admissions make notation on the actual transcript, or do they make notation on the envelope and attach the envelope to the transcript?   Also, does your institution keep the envelope to indicate if the transcript was issued directly to your institution or elsewhere?

What steps does your institution take in handing off the files from Admissions to the Registrar or Student Records office?

Thanks for your time and thoughts.  We appreciate your help.
