Re: Info for Fall MACRAO Meeting

I found the 2014 edition of Retention, Disposal, and Archive of Student Records by AACRAO to be quite concise, helpful, and offering excellent guidance.  The 2001 edition was, however, extremely lacking.  Are we consulting the most current edition of AACRAO’s recommendations?

 

Also, (just a thought to keep in mind) historically, recommended record retention has gone from 7 years to 5 years and, now, to 3 years.  Our system form, Transmittal of Application Materials, currently states 5 years.  If our recommended retention of materials changes to 3, then this form/policy and any others affected by the availability of records will need to be updated, as well.

 

I’ll look forward to the minutes to see how the discussion went.

As you and I discussed earlier, I have been working with Leslie Taylor (MSU Legal Counsel) and Donna Mccrea (Head of Archives at UM) to come up with a records retention schedule for the system - these would be minimum periods of retention, departments can decide to hold on to records for longer if they want.  At this point, we have a working draft and are going to start sharing specific sections with the departments to which those sections apply.

 

I have attached the draft introductory language for the records retention guidelines, and the draft Student Records section. We adopted AACRAO’s suggested retention periods whenever we could, but would like to get input from the MACRAO group about the proposed guidelines. The yellow highlighting indicates items for which AACRAO assigned a retention period of “until administrative need is satisfied.” We would like to have a set minimum for each period, and so assigned time periods for those based on what other institutions do and/or what seemed reasonable. I am hoping that the group can pay special attention to these highlighted sections as there was no clear guidance from AACRAO.

Using PayPal to register for the Fall conference

Hi All,

 

There are a handful of questions regarding using PayPal to pay for the Fall conference and register/paying for multiple items.  I went through the process myself this morning as a refresher and you do have to register each time you are paying for an individual item.  I’ve noted the steps I used below in case that helps anyone that is having problems.  (I tend to be over detailed with instructions so please forgive the step by step details)

 

 

Registering for the MACRAO conference

1.       Go to http://www.macraoonline.org/macrao-conference.html

2.       Select “Register for Meeting”

3.       Enter your registration information for the first time and submit.  This will take you to the “Now it is time to pay” page

4.       Select “Buy Now” next to MACRAO Conference if you are paying by Pay Pal.  If you are paying for a group to attend, please note that you can only pay for one Conference at a time.  See next steps to add additional people.

5.       If you need to add additional people or pay the annual fees or dinner, select the “Return to MACRAO” link on PayPal.  If you are not registering anyone else or paying additional fees you are done at this point

6.       The “Return to MACRAO” link redirects you to a receipt page on the MACRAOonline.org website.  If you are adding additional people select the “events” heading and then “2015 MACRAO Fall Meeting”.

7.       Repeat steps 2-6 for each person or fee you need to pay.  It is okay to register the same name multiple times in order to get dinner and annual fees paid.

There seems to be some issues with this right now with paying for more than one item at a time on the website. We will try to work it out between now and Monday and let you know what to do to pay for multiple people.

For now items have to be paid for/registered individually. It is okay to register multiple time to pay for items.

As soon as we have a solution for multiple payments at the same time we will be in contact with the group.

Hi all,

 

Attached is a list of hotels available in Dillon.  The meeting will be held on Western’s campus so distance from the campus is noted below the hotel. 

 

We will be meeting in the STC Great Room both days of the meeting.  STC is building #9 on this campus map http://www.umwestern.edu/campus-map.html?highlight=WyJjYW1wdXMiLCJjYW1wdXMnIiwiJ2NhbXB1cyIsImNhbXB1cydzIiwibWFwIiwiY2FtcHVzIG1hcCJd.  Parking is noted with a “P”.

 

Parking can be an issue with our campus especially during the daily blocks (8:15-11:15 and 12:15 to 3:15).  We will have parking passes available as you arrive at the STC Great Room.  Go ahead and park your car, and then come to the great room to pick up a visitor pass.  The pass will be good for both days.  Passes are not needed if you are parking in street parking spots. 

 

We are working on trying to getting 10-15 parking spots reserve for the event in the parking lot next to STC and the BARC Athletic Center (building #19).  We will let you know where these will be located as soon as we know if reserved spots will be available.
