Re: Sex/gender change question

Hi Joe,

 

The challenge that MSU Bozeman is having is that the gender marker(which is used for sex…looks like you've found that perplexing detail) is binary, which doesn't accommodate many of our students.  Currently, if a student leaves the gender blank on their application, my understanding is that the Office of Planning and Analysis researches the student and makes a "best guess" for reporting purposes where gender is required.  I've had conversations with two analysts regarding this practice which is frustrating for the students and the OPA folks who have to make the guess.  I would guess that the reason the field was left blank is because the student didn't feel either gender correctly captured their gender/sex.

 

We've continued working on/have in place:

  1. Gender-neutral restrooms
  2. Gender inclusive housing
  3. Chosen name pilot
  4. Best practices for faculty
  5. 1 GA position dedicated LGBTQIA programming

Good morning!

Between the Obama-era's "Dear Colleague" letter regarding Title IX and trans students, and then the recent administration's…I don't know…muffled walk-back of that "Dear Colleague" letter, how do your campuses handle situations where an applicant or student wishes to change their sex in your SIS? If I understand rightly, it seems that we have the option of following the original "Dear Colleague" letter; it just won't be enforced by the current DoE. So I'm wondering:

  • Has your campus created new policies or practices for handling and changing sex/gender to align with that "Dear Colleague" letter? If so, omg please share?
  • If not, what are your pre-letter policies/practices?
  • How do your policies, processes, and applications account for the inconsistent and sometimes inaccurate use of language regarding "sex" vs "gender"? Banner, for instance, records "gender" but means "sex." Montana law does the same, and a quick spot-check seems to show that a lot of our applications do as well. But for students to whom it matters, they definitely know the difference between "gender" and "sex" and will self-report accordingly. So….how do we ask a student to follow a process for changing their sex in Banner, when "sex" was literally never requested or recorded?


I don't think students should be at the mercy of SIS software or an IPEDS report, but I also don't want to get cross-wise with the feds. I appreciate your expert advice!

Re: Concurrent Enrollment High Schools

Thanks, Charity.  I’m still gathering info, but at some point I may need to request a standardized approach to this across the system.  Based on what I’ve seen thus far there are a few methods that don’t lend themselves well to reporting, but the building code method isn’t one that would cause issues for me.  I hope to have the compiled responses ready in a few days and will get back to folks about this soon.

We do not currently track the high school it is taught at in Banner, however based on your conversation and working with our outreach office who organizes dual enrollment, we will pilot a tracking system during the spring semester using Building Codes.

As far as I know there's no modification to the Banner system, it seems to be stored elsewhere as we don't set the instructors for the HS sections in Banner (in SSASECT and SIAINST as faculty) as we don't want them to have full access to the faculty tab in MyInfo (Student Self Service portal); but we do assign them via GID to the sections in the MyInfo portal.  While we do have all of these schools in SOASBGI, that's for incoming student information NOT for usage with the MyInfo form.

 

I would have to ask the Student Services team to find out exactly where the school information is stored; but it doesn't seem to be stored anywhere that we'd regularly access with a Banner query.  On the MyInfo form, the name of the query being hit is pk_ws_dualcred_hs which may give some indication of where/how the information is being pulled (or at least it could give clues on what functions to query to find some of the data.

TL;DR Version: Instructors are stored in Banner but aren't set via SIAINST as faculty so they can't be assigned to sections in SSASECT.  The schools are not built into Banner tables such as SOASBGI, instead they're built into a secondary form that's accessible through MyInfo.  This setup allows us to assign the instructors to the sections & schools via a separate MyInfo form for each term.

 

I hope this helps a bit, and I can reach out to ESG here if you'd like to us track down more information.

Can you explain a bit more about the MyInfo entry?  It appears you enter the High School in your DualCredit Instructor Assignments and have the ability to add new ones there as well.  Where does that information get stored?  Is this a modification to your Banner system?

In Bozeman, we use the campus code “DC” in SSASECT to note our Dual Enrollment courses.  We also make a note is SSATEXT of the Dual Enrollment High School for that section. As we don't want to pollute a shared table (STVBLDG) with various high schools, we do not have the schools built into Banner for use in SSASECT. 

I've also included our internal documentation on building in the sections and instructors for review & usage as other campus' see fit.  This document covers our process from end to end for all Dual Enrollment courses.

Hi John,

FVCC records dual enrollment students by Cost Type (FID RS, FOD RS, FOS RS, LID RS, LOD RS, LOS RS) and/or Major = Running Start.  The high school is recorded for each student enrolled.  For classes offered at the high school, they would have a section number 40-49 and 84, and the high school location would be included in the course information.   If you are not currently accessing this information, let me know or contact Bill Bond and he can make sure this information is available to you.

Hi John, the information can be found for Montana Tech students by linking to the high school for the enrolled student.  We do not record the high school in association with the actual course section.

Good afternoon-

Just following up on an item from the MACRAO meeting.  I'm hoping that a representative from each school could pass along how you are recording which high schools are teaching concurrent enrollment courses in your Banner system.  I'll compile a list and use it to start putting together some information on what coursework is being offered in each location and through which schools.
