Re: Online Catalog Questions--campus guidelines

It really depends; much like Dena, I wish it was only for errors or liable offenses, but that's not always the case.  With CourseLeaf we can be a bit better about whether it goes into the current catalog or whether we queue it up for next catalog, but as with anything online we have the issue that people assume because it's online they can get corrections to us whenever.

Our general rule which is followed about 95% of the time:

  • If it's student conduct, bill, or graduation related we'll get it into the current catalog and make sure that the next catalog is queued up with the changes
  • If it's a change to a program that could cause issues with a student's time to graduation, we'll make the adjustment
  • If it's cosmetic or not liable for us to be sued over, we queue it up for the next catalog


The threat we usually use for catalogs older than the current or next catalog (which you'd be surprised how many requests we get for changing those) - for CourseLeaf to update it, it costs about $5k; which, for some reason most departments aren't keen on the idea of ponying up that kind of money.

As much as GFC MSU would like to say we only fix errors, we actually have a living catalog and it changes regularly as courses are added and modified or policies updated, etc.  We print an original copy & then archive and print a final copy for archival purposes.  ~d

Currently FVCC corrects/adjusts the online catalog only if there is an error.  Changes that occur after the catalog has been finalized are updated in the working copy for next year.

Hi All;

 

For those of you that have online catalogs do you have any guidelines you developed or provided to the campus regarding when items like policies/procedures can be updated to the on-line documents?  For instance if a policy changes mid-year do you update it to the current catalog or do you put it in a draft for next year's catalog?

 

Any suggestions about guidelines (or even guideline documents) would be appreciated as I'm already starting to deal with these questions even as we are just transitioning.  It would be nice to hear what others who have gone before have found as best practices.
