Re: Registration Questions

Same at MSU – alternative PINs are distributed by the departments.  They are intended to be distributed only after the occurance of an advising appointment, but there is some evidence of some departments being more lenient than others in insuring the advising appointment has happened prior to PIN distribution.  Registration holds are not used systemically, but for special cases (university probation, coming off suspension, or by special request of the advisor – for example).

Good morning, Erik!

The Banner SIS requires our students to enter a registration pin (which is generated fresh each semester), and our advisors are the keepers of that pin – they don't give it to students until they've had that advising discussion. It serves the same goal you're talking about, but it circumvents your question of imposing and then lifting holds.

Do I remember rightly that RMC isn't on Banner? Are you on a home-grown SIS, or am I making that up? Registration pins are pretty slick in Banner, but I'm not familiar with possibilities for other systems.

Montana Tech requires students to meet with their advisors.  Either the advisor registers the student via Banner Self-Service during their visit or they provide the alt pin (allowing students to register themselves online) after their meeting.

Re: Gender Identity on Admission Applications

Hi everyone,

 

I thought I would chime in as this is something that RMC has encountered this recruitment cycle within the applicant stage. It has definitely brought up a lot of questions. Upon extensive conversations with campus departments, and other institutions that we have reached out to in order to gain a better understanding to better serve all student populations, it became clear we are unprepared for students who identify as a gender other than their birth gender.

 

I have a feeling most of us fall into this category. We have decided to continue to have discussions internally, while not altering our application process. We use the student’s legal name in all official correspondence and documentation. The legal name and gender of the student at the point of application is what will be used unless legal documentation showing the name and gender change are provided. A preferred name is collected at the time of application. We will note the preferred name in non-official communications (admission representative emails, phone calls, texts, etc.) as well as within our data system note sections. We are, however, working on changes to the housing application as this is the point to which we anticipate having the most challenges.

 

This is definitely a continual and fluid process!

This has come up as a passing conversation here. I believe what they want the wording on the application to be changed so the student will indicate the gender they identify with. The idea is that the student would be coded the gender they identify themselves. I have not really delved into much at this point. Do you think there would be reporting issues with that?

Anyone having conversations about this being added to/changed on the admission applications at your institutions to be more inclusive ?  Seems it is a topic for the Student Affairs Officers, but it didn’t surface at MACRAO so I thought I’d check.


I believe I heard someone mention that they are ‘working with Ellucian’ to add this to banner; however, when I asked some questions about any movement for inclusion in IPEDs it does not sound like that is currently under discussion.

 

At present I believe even for the gender descriptor of ‘unknown’ in banner requires for reporting that we arbitrarily assign M or F gender.

 

Just hoping that if it really is a topic for inclusion in admission applications, that admission, registrar, and IR staff as well as legal counsel are included in the conversation and the Student Affairs Officers are aware of the limitations.

The only reason financial aid needs to know is because of selective service requirements. That is probably where we need some additional research on what reporting requirements actually are.

Maybe I am not understanding, but if coded on an application would you capture that data that they self-identify instead of biological and have that coded in banner? This may or may not be a problem, but how would this affect students with financial aid, where data collection/upload would not match.  I know we had this issue as a student identified themselves as a female on an application, but on their FAFSA they had to identify as a male. If I remember correctly we had to code them as male until the student had it changed with the Social Security office.

Good morning,

 

Maybe I am not understanding, but if coded on an application would you capture that data that they self-identify instead of biological and have that coded in banner? This may or may not be a problem, but how would this affect students with financial aid, where data collection/upload would not match.  I know we had this issue as a student identified themselves as a female on an application, but on their FAFSA they had to identify as a male. If I remember correctly we had to code them as male until the student had it changed with the Social Security office.

This has come up as a passing conversation here. I believe what they want the wording on the application to be changed so the student will indicate the gender they identify with. The idea is that the student would be coded the gender they identify themselves. I have not really delved into much at this point. Do you think there would be reporting issues with that?

Anyone having conversations about this being added to/changed on the admission applications at your institutions to be more inclusive ?  Seems it is a topic for the Student Affairs Officers, but it didn’t surface at MACRAO so I thought I’d check.


I believe I heard someone mention that they are ‘working with Ellucian’ to add this to banner; however, when I asked some questions about any movement for inclusion in IPEDs it does not sound like that is currently under discussion.

 

At present I believe even for the gender descriptor of ‘unknown’ in banner requires for reporting that we arbitrarily assign M or F gender.

 

Just hoping that if it really is a topic for inclusion in admission applications, that admission, registrar, and IR staff as well as legal counsel are included in the conversation and the Student Affairs Officers are aware of the limitations.

Thanks Sarah – here is what I got from a colleague:

 

What I have seen some schools do is have two questions on their applications:

·         one to indicate biological gender (current data collection)

·         one to indicate social identification gender/status (to address the LGBTQ community)
