Probe failure for MACRAO

While the CONFIRM command will solve your immediate problem, it coule be
a matter of time until you find yourself in the same situation again.
Please take a look at the enclosed error report and try to determine
whether it is a genuine error or just an informational message. Keep in
mind that this error report was processed by a computer that cannot tell
"User JAIME24 does not exist" from "Please note that the Department of
Microbiology will be closed from December 19 to January 2". These
informational messages, while possibly useful to a reader, should not be
sent in reply to a message coming from a mailing list (it is very easy
for the mail program to determine whether a message is coming from a
mailing list). Genuine errors should be reported to your computer/network
support staff as soon as possible so they can be corrected.

Home School Students

Good Morning Everyone,

 

I have a question regarding home school students that complete a non-accredited curriculum.

 

According to the MUS Policy 301:

 

A. Students must have graduated from a high school accredited by the state accrediting agency, OR have a high school equivalency completion assessment designated by the Montana Board of Public Education to be admitted to any campus of the Montana University System. At the discretion of the institution, for students who complete their secondary education through home schooling or at unaccredited secondary schools, this requirement may be met by “satisfactory performance” on the ACT, SAT, or a recognized testing instrument defined in the Federal Register as indicative of a student’s “ability to benefit.”

 

If a student does not complete an accredited home school curriculum but has high test scores on their ACT how are you working with them in the admission process?  If a student is admitted based on test scores does this create an issue with financial aid?

This upcoming semester will mark a change in Official FTE counting.  Attached and below are descriptions of this change.

 

MUS Enrollment Reporting Procedures       

 

1.       Enrollment Reporting Timelines: Enrollment counts for each institution will be recorded at the end of the 15th day of instruction each semester (preliminary census) and at the end of term (EOT census).  Census dates are intended to capture net enrollment, which is defined as the number of students who are registered and have paid tuition/fees or made arrangements to pay.  Institutions are given an additional two weeks to analyze and clean enrollment tables before extracts are made to the MUS Data Warehouse.  Once enrollment reports have been produced by OCHE they are disseminated to each institution for validation. 

 

2.       Official FTE: Beginning in Fall 2015, “official” or “final” FTE will be generated from the EOT extract files. This file will include all student enrollments with paid tuition/fees and valid grades. This includes student enrollments with recorded grades of ‘W’ (withdrawal) and ‘I’ (incomplete).  Enrollments will still be collected on the 15th day census and will serve as a preliminary enrollment count. All addendum FTE or late start FTE will be collected and reported in the EOT census.

Beginning with the 2015-16 academic year, it is our intention to move “official” or “final” FTE to an End-of-Term FTE count.  Census FTE would then be considered “preliminary” (as it is now), but we would no longer add late start FTE or addendum FTE back to the Census counts in order to produce final enrollment.  Instead, the totality of the student records found in the EOT file would constitute the data we use to calculate Final FTE. Census FTE would then only be used as a preliminary count to inform planning, the media, etc…

 

This change will allow us to do away with addendum extracts and the calculations required to add FTE from two separate extract files together in order to produce a final count.  In theory, no one will lose any FTE and it will make our reporting process auditable through one electronic file.  The Census count is intended to capture all paying students and thus all students that will generate a grade.  This new method will ensure that only students that generate grades are counted for FTE. 

 

I am sending this message early in order to solicit feedback and give you time to analyze the differences between Census and EOT FTE.  Please send your concerns/suggestions/questions.  Below is a comparison of Fall 2014 Census to EOT FTE.

MSU-Northern has two- and four-year programs, so I think I can be a part of this conversation!

 

We would allow them to register for the first semester but they would have a hold for the second semester. There are times when we have exceptions to the rule but in the end, they will never be able to graduate until they get that transcript to us… and the credits won't transfer. I would counsel them to call the other school and work out a payment plan or something so that they can get that transcript. After so long, I'm sure they will be sent to collections and the hold will be lifted.

Thanks for your responses! Can you tell me what you do when a student turns around at 3rd week and says they owe money to another school and cannot get the transcripts? Do you allow them to continue registering for the next semester? Do you prevent them from registering for any subsequent term?

DCC is very similar to Miles. We admit with an unofficial transcript and then a hold is placed on the students registration for the following semester until an official transcript arrives. We are also open admissions.

Yes, I believe that our Financial Aid department has all the information at their fingertips when it comes to eligibility. We do our part but they will find out everything about a student whether we have the info or not. They know everything!!!!

 

Northern is not a two-year campus, but we admit students conditionally without their transcripts. They can register without their transcripts. If they want credit, they need to provide their transcripts. And the hold goes on their accounts for those transcripts the second week of their first semester at Northern. Our goal is to gather those transcripts before they register for the second semester.

I spoke with our financial aid office about this and our Director indicated there is not a federal requirement to do so. In terms of lifetime eligibility limits those are kept track of at the federal level.

Helena College does not require a transfer student to provide a previous college transcript. If they provide a high school transcript they will be admitted. It is up to the student to provide the college transcript if they would like them to be evaluated.

We do about the same as Tech.  They are supposed to have their official transcripts here before the term starts, but we will allow an unofficial if not and be placed on hold until the official arrives.  Also, we are open admission at Miles.

At Highlands College, we follow the same procedure that we use for Montana Tech's North Campus:  We require at least an unofficial transcript to admit.  The official document is still required and we place a hold on the account after the 3rd week if that has not yet been received.

Hello-

I'd like to understand better how each two year campus processes their transfer applicants. Do you admit based on the application, then ask for the transcripts on the acceptance letter and put a hold on their registration at 3rd week? Do you ask for the transcripts before you admit? Are there BOR guidelines for when and how we ask for transcripts? The 4 year campuses require transcripts prior to admission to be sure the student meets the transfer admissions standards, but the two year campuses don't share that admission standard, so I'm wondering if there is a standard practice for how to handle these admits.
