Re: Incomplete Grades

Here's Montana Tech's policy:

 

Incomplete (revised Fall Semester 2005):

1.     Assigning a Grade of "Incomplete." A grade of "Incomplete (I)" is assigned only when the student has been in attendance and has done passing work up to a time within three weeks of the close of the semester, or within one week of the close of the summer session. It may be assigned only upon agreement of the student and course instructor when extenuating circumstances make it impossible for the student to complete course requirements on time (Extenuating circumstances include serious illness, car accidents, death of a family member, etc. It does not include lateness due to procrastination, the student's desire to do extra work to raise his or her grade, allowing a student to retake the course, etc.). If a grade of "Incomplete" is submitted, the instructor will assign a revised grade in the event the missing work is not completed. The instructor must also specify conditions and requirements for completing the deficient work, as well as any deadline shorter than the maximum time period allowed as indicated above. At the end of each semester, the Enrollment Services Office will send an Incomplete Grade Report (IGR) to departmental administrators detailing every "I" grade submitted by his or her faculty that semester and the conditions for student completion.

2.     Completion of "Incomplete" Grades. Regardless of a student's subsequent enrollment, final grades for incompletes received in the Fall semester must be assigned by the last day of the following Summer semester. Final grades for incompletes received in the Spring semester or Summer Session, must be assigned by the last day of the following Fall semester. When a student has completed the deficient work, the instructor will assign a final grade. An incomplete that is not completed within the time limit specified above would automatically be changed to the reversion grade assigned by the instructor at the time the incomplete was submitted. Instructors may assign a final grade anytime within the time period specified above. In the event the instructor leaves the university, the Department Head may assign the final grade. An incomplete remains on the student's permanent record and is accompanied by the final grade (i.e., I/A, I/B, I/C).

3.     "Incomplete" Grades on Record at End of Final Term. A student cannot graduate with a grade of "Incomplete" on his or her record. At the end of the term in which the student will graduate, a grade of "Incomplete" in any course on that degree level (technology, undergraduate, graduate, etc.) reverts to the grade that the instructor had specified on the incomplete grade submission form. Reverted grades are included in the computation of the student's cumulative grade-point average at graduation. Nonetheless, a student who has graduated may make up the incomplete work within the usual time limit in an effort to raise the grade on the permanent record.

Here is Helena College's policy on incompletes.

 

Incomplete

An incomplete ("I") grade may be given with the approval of the Registrar's Office when, in the opinion of the instructor, there is a reasonable probability that students can complete the course without retaking it and without instructor participation. The incomplete grade is not an option to be exercised at the discretion of the student and is given only in cases of extreme personal hardship or unusual academic situations.

Eligibility for an incomplete is determined within the following guidelines:

1. An incomplete may be assigned to a student when he or she has been in attendance and doing passing work up to three weeks before the end of the course, and for reasons beyond his or her control, he or she has been unable to complete the requirements on time. Negligence, indifference, or excessive absences are not acceptable reasons.

2. The instructor will set the conditions for completion of the coursework. When these conditions have been met, the instructor will assign a grade based upon an evaluation of the total work done by the student in the course.

3. An incomplete ("I") which is not made up during the next regularly scheduled semester will automatically convert to a grade of "F."

FVCC's maximum amount of time is 12 months; the instructor has the option to shorten that time at their discretion.  If the "I" in not completed in the designated time frame it becomes an "F".

Here is Great Falls College policy:

 

INCOMPLETE

An Incomplete (I) grade is issued at faculty discretion when student course work has been satisfactory, but unavoidable mitigating circumstances have prevented the student from completing the course. After consulting with the instructor of the course, a student must make a formal request for an

incomplete grade by completing the Request for an Incomplete Grade form, stating what unavoidable mitigating circumstance(s) prevented completion of the work and proposing the conditions under which the work will be completed. If a request form does not accompany the final grade, the student will be issued a Not Recorded (NR) grade until the proper paperwork is completed and submitted to the Records Office. If the instructor approves the request, the student will have until the end of the following semester to make up the Incomplete. If a student fails to make up an Incomplete within the allotted time, the incomplete grade will be converted to an "F". The Division Director will approve all Requests for Incomplete Grades before they are submitted to the Registrar for posting. The Department Chair or Division Director must be given all information necessary to do final grading for the student as backup for the instructor in case he/she is not available to do the grading at the appropriate time.

At MCC, the student has eight weeks from the end of the term to complete the course.  If nothing has been completed at that point the grade is converted to an "F".

Dual Enrollment with High Schools question

Good afternoon,

 

We are looking more closely at the administration of all of the processes associated with the implementation of our dual enrollment here at GFC.  I will spare you all the details, but our current process is spread out in a few different areas.

 

As we grow and more schools want to partner with us, we are finding we need to make some changes.  I am interested in knowing about four key areas and how you handle them:

 

·         Administration of inter-local agreements

·         Marketing

·         Student paperwork

·         “Point-person” (e.g., who on your campus serves as the all purpose referral center :o)

Hey everyone!

I have a few new staff who are doing transcript articulations and was trying to give them a general crosswalk of CCN arrays and their effective terms by school.  As I started looking around, I discovered that there was more of a variety of “when” arrays were effective than I had originally thought.  I was wondering if you all have a list of arrays and their effective terms somewhere…  If your list is on your website, can you please send me a link and I’ll pull off the information.  If you have it in an Excel or Word file, can you send me that?

Incomplete Grades

First I'd like to introduce myself, I'm the new Registrar at Rocky Mountain College! I'm excited to be working with all of you and I hope to meet you all in the future. 

My question is in regards to incomplete grades. How long do you give students to complete missing course work so that their "I" grade doesn't turn to an "F" grade?

Thanks Ed – my problem is knowing “when” those courses were put in your catalog.  Any kind of list your staff used to get them put in Banner that identifies what term they were effective?

Re: tracking remediation

When students apply to Montana Tech and need remediation, they’re admitted instead to Highlands College and given an attribute that identifies why they weren’t admitted to Tech.  We use:

 

ARMS – at risk math standards

ARWS – at risk writing standards – no writing scores submitted

ARWL – at risk writing standards – low writing scores

ARCP – at risk college prep
