Re: Degree Works Question

Charity,

Here at MSU, in addition to the licensing, we contracted for the initial scribing (coding).  This is a catch .22.  Schools who pay for scribing tend to be disappointed because the non-local scribers do not understand the nuances of the local curricula.  Conversely, local experts do not understand the nuances of the scribe (code) capabilities when they gear up for initial scribing.  I think you are OK either way – ultimately I think it is probably a similar cost (either extend the time it takes to learn scribe and complete it locally, or pay to have it done more quickly and then go in and clean it up).   We also contracted for some Ellucian-hosted project management oversight and this was very expensive and somewhat helpful.  I have heard there are private companies that do this as well and I have heard good things about them.

 

The other expense was really time from people across campus(es).  We had a core team that included 2 representative from IT , one from the Office of the Registrar (technical in nature), one from an academic department, and a project manager (also from the Office of the Registrar with a policy/management focus).  Additionally, each MSU campus had a similar core-team structure.  We had weekly and then bi-monthly phone calls to keep all of the campuses moving forward at approximately the same pace.  This team approach helped all of us as we all learned from one another and collaborated on many of the obstacles we came across.  The team members on each campus, solicited the help of people in their division and from across campus throughout the implementation.  The amount of help needed from across campus is inversely proportional to how confident you are in the clarity and consistency of your published degree requirements.  We had great support from each of the offices mentioned and the academic departments.  This is a large undertaking and requires input from all areas of campus (some more than others depending on your structure and culture).  Regardless, you need top down support and grass-roots buy-in. 

 

We started planning in January and went live the following October.  I served as project manager in my new role as Associate Registrar.  Luckily I was new in the position without a desk-full of other ongoing projects.  Several months I spent about 50% of my time working as PM for degreeworks for the 4-campus MSU implementation.

 

While there were (and continue to be) cultural and technical hurdles.  I don’t think anyone would want to go back to the old patterns of advising and degree check-out.  The benefits far outweigh the costs here in Bozeman (I hope that is true at the other MSU campuses as well).

Re: Satisfactory Performance

We have them take the COMPASS Test and we do have some scores that they have to meet before we will admit them. We used to have what I would call basic skills courses that were taught in conjunction with Adult Basic Education program in Helena and the scores we have are based on that. If they place into that level, we refer them to ABE so they can brush up on their skills for free before they are admitted. It is rare somebody does not make it. We have made some changes to our remediation paths and will probably have a review of those scores to make sure they are still accurate.

 

I do usually counsel students to get their GED as well. It makes for a much easier process if they would like to get financial aid which is almost always the case.

At the discretion of the institution, for students who complete their secondary education through home schooling or at unaccredited secondary schools, this requirement may be met by “satisfactory performance” on the ACT, SAT, or a recognized testing instrument defined in the Federal Register as indicative of a student’s “ability to benefit.”

If we can admit these students based on "satisfactory performance" on a recognized testing instrument – what is your interpretation (cut-score) to define "satisfactory" and is it on the ACT, SAT, and/or Compass exam?

Can you tell me what your institutional process is for identifying “satisfactory performance” in order to admit home-schooled students or those receiving a diploma from an unaccredited secondary school?

We admit them and they have to take a Compass test. If they ask my opinion, I tell them to go get their GED so they have proof that the completed high school. Otherwise, they are going to have people question it and they will have to jump through hoops. Ugh. The homeschool  situation is a wreck in Montana.

Thanks everyone for your thoughts on how to manage this new requirement.  I agree with Cheri that there must be a more effective way to track student’s compliance without any reflection on an academic transcript.  Hopefully we can share our ideas after the MSU brainstorming session tomorrow that could be useful across the MUS.

MSU Billings holds to the fundamental registrar position in line with recommended best practice from AACRAO that the transcript is an accounting of the academic record.  

 

As such only matters of the academic record are included on MSU Billings transcripts and those don't include student health information, conduct information, co-curricular information, athletic information etc...

I believe EverFi has modules for tracking that our student affairs, dean of student counterparts can utilize for this need.

If a student decides to transfer, I have been told that I need to inform the transfer institution whether the student has completed or not. How is this being tracked? Is this being done on the transcript or in Banner? I have read a brief update from Helena College regarding grades, but it appears that a transcript can be requested and mailed. Any clarification would be great as well as information on tracking.

I am looking for information on Everfi. I have been informed that I need to put students on hold if they have not completed Everfi by Fall 2015. All incoming students must take this before registering for classes. If a student decides to transfer, I have been told that I need to inform the transfer institution whether the student has completed or not. How is this being tracked? Is this being done on the transcript or in Banner? I have read a brief update from Helena College regarding grades, but it appears that a transcript can be requested and mailed. Any clarification would be great as well as information on tracking.

Hi Virginia,

 

I received the same information last week. We are holding grades this fall, but will blocking registration in the future. I think it would be beneficial to decide as a group a consistent way of tracking and notifying other campuses. It seems like putting it on the transcripts would be the most consistent option, but I am not sure if that is feasible for every institution.
