Information for MACRAO Fall 2014 meeting

MACRAO Fall 2014 Meeting

 

MACRAO meeting for Fall 2014 is upon us!  This year we will be meeting in Great Falls, where both University of Great Falls and Great Falls College MSU has kindly offered to host us.

 

For your information the meeting agenda is attached to this email as well as campus maps for both UGF and GFC and a hotel list for the area.  Parking passes will not be required at either campus.  At University of Great Falls, the best parking area is in the lot off 20th street by the Art and Fine Arts building.

 

You may register and pay for the event by using the attached form (sending to Leslie Dickerson, MACRAO Treasurer at the address listed on the form) or online by going to www.macraoonline.org

MACRAO registration should be submitted by Friday October 3rd.

 

Additionally MACRAO dues are due this time of year.  You can use the attached form titled “MACRAO Dues Invoice” or submit payment at www.macraoonline.org.

 

Finally, we have some time in our schedule set aside for topical conversations or group discussions.  If you have a topic or area that you would like to talk about please feel free to email me your topic and I will add it to the list.  Items currently noted are listed at the bottom of the agenda.

Re: CAPP program

Montana Tech is using CAPP.  Kathy Williams attended a pre-conference session at Banner Summit and was very successful with building our CAPP rules.  I'm afraid that I'm not much help because it is still new to me but I'm sure that Kathy would be happy to share her thoughts if you would like to contact her.  Just let me know and I can provide her information.

Hi Charity,

 

I’m attaching Carroll’s withdrawal checklist and form. Our students meet with a variety of people (advisor, residence director, financial aid, business office, registrar) in order to completely withdraw.  Typically they do this in person before leaving campus, but occasionally we process some by phone – in that case, it’s usually our office that notifies the others, but sometimes it’s residence life or whomever speaks with the student first. We try to get a general sense for the reasons a student is leaving, but the meetings with various people on campus are usually more focused on the withdrawal process itself. We do not have a withdrawal survey, but we do have a “not returning” survey for students who inform us that they are not planning to come back the following semester. I’m attaching that checklist and survey as well. This information is then returned to our Advising office and is shared with our enrollment services VP, who heads up our retention committee.

1.       Do you ask and/or require the students to meet with anyone prior to beginning the withdraw process (i.e. an exit counselor, a specific office or person)?  If you do what is the person’s responsibilities (do they just tell the student how to withdraw or do they discuss reasons of withdraw with the student?)

2.       Does the student have to get signatures from around campus in order to withdraw (i.e. financial aid; business office)? If not, how are various  offices notified of the student’s withdraw?

3.       Do you ask the students to complete a withdraw survey?  If you do, could I get a copy of it?

1.       Do you ask and/or require the students to meet with anyone prior to beginning the withdraw process (i.e. an exit counselor, a specific office or person)?  If you do what is the person’s responsibilities (do they just tell the student how to withdraw or do they discuss reasons of withdraw with the student?)See WITHDRAWING FROM ALL CLASSES attachment.  This is put on the web, so students/faculty/staff can assist students with the process.  Staff involved in process  - discuss options, maybe adjust the student’s academic plan, discuss bill and financial aid ramifications, appeals, coming back to school, etc.  The Withdrawal pamphlet is also a resource for students during this process.  (see attached)

2.       Does the student have to get signatures from around campus in order to withdraw (i.e. financial aid; business office)? If not, how are various  offices notified of the student’s withdraw?  We do allow students to complete this process via the phone, etc.  Only student, Advising and Financial Aid sign off on the form.  Then it comes to Adm/Records office for processing.  Our Business Office runs reports regularly to look for refunds, etc and puts holds on students with balances due.  Financial Aid also runs reports for return of funds, etc.

3.       Do you ask the students to complete a withdraw survey?  If you do, could I get a copy of it? See attached Withdrawal form. We use this form for processing the withdraw. We update address, phone etc as well as process the w/d in banner. Then the rest of the survey is entered into a separate database to track the additional pieces collected.  That database is then given to IR at the end of the term for analysis.

Here are UM-Missoula’s practices:

 

1.       Students must meet with a Withdrawal Coordinator. (We avoid using “counselor” because it leads people to believe the coordinators are licensed in some fashion). The Coordinator is available to offer suggestions, advice, options, and to point out resources for students. Student who withdraw with Financial Aid meet with a member of Business Services to discuss a return of Title IV aid.

2.      Generally the Withdrawal Coordinator’s signature is required. We do require foreign students on a visa to get that office’s signature and VA benefits earning vets need to get the signature from the VA Coordinator.

3.      We used to do a survey, but I believe we stopped because it didn’t provide any concrete suggestions. Mostly students withdrew for reasons outside of their or our control.

DCC does not require students to meet with anyone prior to withdrawing. We do have them get signatures from instructors, advisor, library, bookstore, business office, financial aid and Registrar. They also have a withdrawal survey that they complete and review with the Assistant Vice President of Instruction and Student Services.
