Common Course numbering question from Bozeman

Hey everyone!

I have a few new staff who are doing transcript articulations and was trying to give them a general crosswalk of CCN arrays and their effective terms by school.  As I started looking around, I discovered that there was more of a variety of “when” arrays were effective than I had originally thought.  I was wondering if you all have a list of arrays and their effective terms somewhere…  If your list is on your website, can you please send me a link and I’ll pull off the information.  If you have it in an Excel or Word file, can you send me that?

Thanks so much!

tracking remediation

Is anyone using any section in Banner to track or mark students who are in remediation outside of Admit Codes and test scores?  Where and how are you marking students that need remediation?

Thanks

FYI. ~d

Dear Education Partners,

Today, the U.S. Department of Education announced that beginning with the 2014-2015 federal student aid form, the Department will – for the first time – collect income and other information from a dependent student’s legal parents regardless of the parents’ marital status or gender, if those parents live together.

The Free Application for Federal Student Aid (FAFSA) will provide a new option for dependent applicants to describe their parents’ marital status as “unmarried and both parents living together.”  Additionally, where appropriate, the new FAFSA will use terms like “Parent 1” and “Parent 2” instead of gender-specific terms such as “mother” and “father.”

Education Secretary Arne Duncan said, “All students should be able to apply for federal student aid within a system that incorporates their unique family dynamics. These changes will allow us to more precisely calculate federal student aid eligibility based on what a student’s whole family is able to contribute and ensure taxpayer dollars are better targeted toward those students who have the most need, as well as provide an inclusive form that reflects the diversity of American families.”

You can read our press release below and here.

We ask for your assistance in sharing this information with your members, affiliates and networks.

 Thank you,

EDUCATION DEPARTMENT ANNOUNCES CHANGES TO FAFSA FORM TO MORE ACCURATELY AND FAIRLY ASSESS STUDENTS’ NEED FOR AID

Today the U.S. Department of Education announced that beginning with the 2014-2015 federal student aid form, the Department will – for the first time – collect income and other information  from a dependent student’s legal parents regardless of the parents’ marital status or gender, if those parents live together.

The 2014-2015 Free Application for Federal Student Aid, or FAFSA, will provide a new option for dependent applicants to describe their parents’ marital status as “unmarried and both parents living together.” Additionally, where appropriate, the new FAFSA form will also use terms like “Parent 1 (father/mother/stepparent)” and “Parent 2 (father/mother/stepparent)” instead of gender-specific terms like “mother” and “father.”

“All students should be able to apply for federal student aid within a system that incorporates their unique family dynamics,” said U.S. Secretary of Education Arne Duncan. “These changes will allow us to more precisely calculate federal student aid eligibility based on what a student’s whole family is able to contribute and ensure taxpayer dollars are better targeted toward those students who have the most need, as well as provide an inclusive form that reflects the diversity of American families.”

The FAFSA has long been constructed to collect information about a student’s parents only if the parents are married. As a result, the FAFSA has excluded income and other information from one of the student’s legal parents (biological or adoptive) when the parents are unmarried, even if those parents are living together. Gender-specific terms also fail to capture income and other information from one parent when a student’s parents are in a same-sex marriage under state law but not federally recognized under the Defense of Marriage Act.

The information provided on the FAFSA is used in the calculation of the student’s expected family contribution (EFC), which determines a student’s eligibility for federal need-based student aid as well as for many state, institutional and private aid programs. It is critical that both of a dependent student’s parents help pay, to the extent they are able, for the educational expenses of their child. Collecting parental information from both of a dependent student’s legal parents will result in fair treatment of all families by eliminating longstanding inequities based on parents’ relationship with each other rather than on their relationship with their child.

The collection of information from both of a dependent student’s parents is statutorily supported in the Higher Education Act (HEA), which generally includes the terms “parent” and “parents’” and not terms like “mother,” “father,” or “spouse.” This change will not impact the longstanding and statutorily required provision that when a dependent student’s parents are divorced, only information on the parent that the student resided with for the greater portion of the 12 months preceding the date of completing the FAFSA is to be reported.

The collection of FAFSA information for both of a dependent student’s unmarried parents when both parents are living together will not impact the majority of federal student aid applicants, either because they are independent students, or because they are dependent students  whose legal parents are married to each other or are unmarried and do not live with the other parent. While most students will be unaffected, the eligibility of some dependent students will change. In most of these instances, the amount of need-based Title IV federal student aid these students will receive will decrease because of the additional income and other resources used in the calculation of the student’s EFC. In a small number of instances, the student would be eligible for more aid because the offset for an additional person in the parents’ household, a factor in calculating the EFC, will exceed the income of the second parent.

The Department will publish these changes this week in the Federal Register for public comment as part of the draft 2014-2015 FAFSA. For more information about federal student aid, visit the Department’s website: studentaid.ed.gov.

GED/ETS Letters

Hello all,

I thought you might be interested in reading the letters in the attached file. The first one is from GED and discusses why states should continue to use the GED. The second is the response letter from ETS. This has also been posted on the website (www.macraoonline.org<http://www.macraoonline.org>) under Announcements.

Also, I've put a couple of photos from our spring meeting on our homepage (thank you Jane!).

Re: MACRAO Website

Kathy,

I can’t tell you how delightful it is to see this creative and informative MACRAO web page.  For years we have plotted, planned and hoped someone would have the time & energy to create and manage a web presence for our Association – and you have accomplished it!

What a service to MACRAO membership, all of the colleges in the MUS and in Montana, OCHE and our colleagues in higher education everywhere.  Please accept my personal THANK YOU for this effort, and my appreciation to others who worked with you to make the MACRAO website a reality!

Kathy, this is terrific – you should be very proud of your accomplishments as a leader in MACRAO!

FOR YOUR CONSIDERATION/ACTION:

Since its catalog production time for virtually all of us, I bring your attention to the following item that our legal counsel indicates should be included in upcoming catalogs, as well as included in our annual student privacy rights notification to students:

AACRAO recommendations here, and content below:  http://www2.aacrao.org/transcript/index.cfm?fuseaction=show_view&doc_id=5446

I handled it by adding a special comment in three areas of our student privacy information.  Eample:  http://www.umt.edu/registrar/Privacy%20and%20Release%20of%20Student%20Education%20Records%20-%20FERPA.aspx

*FERPA Annual Notice to Reflect Possible Federal and State Data Collection and Use

As of January 3, 2012, the U.S. Department of Education's FERPA regulations expand the circumstances under which your education records and personally identifiable information (PII) contained in such records — including your Social Security Number, grades, or other private information — may be accessed without your consent. First, the U.S. Comptroller General, the U.S. Attorney General, the U.S. Secretary of Education, or state and local education authorities ("Federal and State Authorities") may allow access to your records and PII without your consent to any third party designated by a Federal or State Authority to evaluate a federal- or state-supported education program. The evaluation may relate to any program that is "principally engaged in the provision of education," such as early childhood education and job training, as well as any program that is administered by an education agency or institution. Second, Federal and State Authorities may allow access to your education records and PII without your consent to researchers performing certain types of studies, in certain cases even when we object to or do not request such research. Federal and State Authorities must obtain certain use-restriction and data security promises from the entities that they authorize to receive your PII, but the Authorities need not maintain direct control over such entities. In addition, in connection with Statewide Longitudinal Data Systems, State Authorities may collect, compile, permanently retain, and share without your consent PII from your education records, and they may track your participation in education and other programs by linking such PII to other personal information about you that they obtain from other Federal or State data sources, including workforce development, unemployment insurance, child welfare, juvenile justice, military service, and migrant student records systems.

First, I wanted to remind everyone that our spring meeting will be arriving soon & we are in need of topics, agenda items, guest speaker ideas, etc.  Please know that your feedback from last meeting will be used to develop this agenda.

Second, in Great Falls, we are struggling with how to address issues with students enrolling in courses and then not passing their prerequisites.  If you check prerequisites on your campus, can you please let me know how you manage this workload, who does the work, how students are notified, etc.  My contact information is below if you would prefer to contact me directly.

Thanks as always for your wisdom. ~d

Hello All,

Good afternoon,

Attached is a link to HB 317, which is an act related to developing criteria for awarding credit for learning through military service.  This bill was signed by the Governor on March 20th  with an immediate effective date.  As a system, we supported this bill during the legislative process as we had already begun to address this issue and were working on a Board of Regents policy that was similar in nature.  I have discussed this policy with the Veterans Workgroup on several occasions and will be bringing a recommendation to the Board of Regents in May.  Additionally, Deputy Commissioner Neil Moisey has provided the draft policy to the Chief Academic Officers at each campus for comment and our Prior Learning Assessment Workgroup has completed a review.

Please forward this message to anyone on your campus that you believe should be aware of this information and if they have any questions or comments direct them to me.

MACRAO meeting countdown

Two more days and we are so excited! (so much so, that I hit send prematurely, lol)

I’ve attached another copy of our campus map for you and added a few comments to show you the best places to park and where the meetings are.  A parking permit is not required for non-reserved spaces.  The Hagener Science parking lot has handicapped spaces next to the building.  For Friday, there is just one handicap space near the Farm Mechanics building, just down the hill a little from the South Parking lot.  There will be signs inside of the buildings pointing you toward our meeting rooms.

Phone attendance:  Please give your phone number to one of the officers or myself if you plan to participate by phone, as WE will need to call YOU.

Skype:  For presenters wishing to Skype their presentations, I was able to iron that out a little and it CAN be done.  However, we will only see them…they will not see us.

The Skype Presenter will need to connect with someone attending here in order “skype” with us.

Handouts:  If anyone presenting wants to email me any handouts they have, I can have them copied and inserted into our folders.

Havre-Beneath-the-Streets:  These tours need to be scheduled in advance.  If anyone is interested in a Thursday morning tour, please let me know, and I will schedule one.

It would cost you a mere $12.00!

If I can be of any further assistance, please let me know!

Communication Tools

Good afternoon –

I’m wondering if you are currently using any type of student-tracking within Banner (for communication purposes). If you are using banner, can you please share details of which screens and how you do your tracking?

Or are you utilizing additional software for this purpose? If so, which software are you using? And if so, does this software work with Banner easily?

We’re hoping Banner can do more than what we’re currently utilizing it for, so any input you can provide is greatly appreciated!

Thank you,

Please note the new email address below to reflect our recent name change to Great Falls College MSU.
