Re: Faculty Advisors and access to Student Records

We’ve been through the same thing.  Only faculty advisors have access to their advisees’ records.  If the student decides to change majors/advisors, then they need to see Student Services to initiate that process.

This subject keeps popping up, and with new hires coming on campus and sharing their past experiences, I’m wondering…am I being overly protective of our students and FERPA.  Please share some insight on how your institutions handle faculty advisors and access to student academic information.  Currently at FVCC, faculty advisors only have access to academic records of students they advise.  Do other institutions allow faculty advisors open access to all students’ academic records regardless of whether they have a legitimate reason to view their records or not?   Your thoughts and guidance are greatly appreciated.

Western typically only allow the faculty advisor who advise the student to have access to their records.  Students can change or add advisors through the advising office if they want another faculty advisor to access their records.

 

I know there are some schools that do give all access to all faculty advisors (and sometimes all faculty), but personally it always seems like a thin line to justify legitimate educational interest in that regards.

Hello MACRAO colleagues,

 

Bozeman will be host to the Rocky Mountain Association for Institutional Research October 26-28, and I hope all of you will join us for that meeting since some of you fill IR roles on your campuses and may be interested in some of the sessions even if you don’t (I promise more info over the summer and fall so you can see how great it’ll be to join us!).  That may be an opportunity to creatively collide or perhaps avoid stepping on each other.

The RMUG Conference is only three weeks away! We are excited for the lineup of user lead and Ellucian lead sessions. Our schedule is coming together nicely and there is room to grow. Be sure to check our website for details on the sessions.

 

Although the Early Bird registration time has passed, you can still SAVE on your registration cost by presenting! The registration fee for presenters is $55 and for attendees is now $85. Please consider sharing your knowledge with others by doing a session.
