International Student/Teacher taking Extension Professional Development Course Online from Abroad

Hi –

 

If any of you, or colleagues on your campus have experience with offering an online extension (extended studies/campus) course for credit… to folks who are abroad, can you put me in contact with who would have the most information on how this is being navigated for registration, identification numbers, visa compliance etc… ?

Ditto to Charity's reply to Cassie. At MSU academic advising plays a critical role in promoting a student's progress toward degree along with all those other informed choices students must make along the way. The academic advisor provides the advisor/alternate PIN to ensure that interaction occurs for career planning, internship opportunities, financial literacy & the impact of decisions on student debt, staying on track in programs with sequential or required pre-reqs, consequences beyond the academic record for Withdrawals or failing grades (financial aid eligibility), etc. 

It could be a culture change for a campus not accustomed to this restriction so partnerships with the academic community & leadership help get a project of this magnitude moving.

At least from my perspective, the ability to produce pins is not cumbersome in comparison with the benefits.  It helps insure that students had at least the opportunity to talk with someone about their classes, staying on track for graduation, and their long term goals, in addition to supporting processes in business and financial aid.

Carroll (a Colleague school) does not require PINs for registration. We do allow advisors to place an advising hold that blocks registration until the student meets with the advisor. Few advisors take advantage of this hold.

 

I'm intrigued – how cumbersome is the PIN process for the Registrar's Office? It sounds like it's something that's pretty much built into Banner. Are there other advantages and disadvantages? I think this is something our financial aid and business offices would like due to the reasons Kerry suggested.

Yes, we do require students to meet with advisors, sign an Advising contract, and get their registration pin.  I don't believe they can register in Banner without an advising PIN.

 

Our only exception is for Non-Degree Seeking students.

Our advisor pin requirement helps us to sort out all different types of issues. For instance, a student has "changed" his major without actually changing his major. At this time they are forced to come to us about finding another advisor, changing their major and getting their pin. And then you just have those students who are terrible about visiting their advisors... This forces them to do it. We communicate with posters, emails, phone calls, etc, regarding the how to register so we ideally won't have a rush in our advising center. The part I love the most is that Admissions gets an opportunity to reconnect with these students, check in with them and their college experience, and be a resource. It's the most wonderful time of the year!

Not all departments at Montana Tech use registration pins.  The advisors that do use them give the pin to the student when they meet for an advising appointment.  Their rationale is that once the student and advisor speak, it is up to the student to make responsible choices based on that conversation.

 

All registration outside those departments is done by the advisor in self-service or with an advisor's signature on an add/drop card that comes to Enrollment Services.  There are basically no exceptions.  We require advisor approval on all additions or deletions if the student doesn't have a registration pin.

We do require a PIN for every student – continuing or new. For new students, we have registration sessions (online and on campus), where we (Admissions) give students the PIN in order to register for classes. For all continuing students, they get their PIN from their academic advisor every semester. We also provide a PIN for our non-degree seeking students, because we have found that without having a quick conversation (face-to-face or by phone), many non-degree students aren’t aware of campus resources, payment deadlines, how to get books, how to access D2L, consortium agreement paperwork for financial aid, etc. – so we make them have a conversation with an advisor to get the PIN each semester.

UM-Missoula requires PINs for all undergraduate students prior to registration. If they miss their time for advising it is the responsibility of the student to get the pin from their academic department. We don't allow other offices to give them to the student.

Carroll (a Colleague school) does not require PINs for registration. We do allow advisors to place an advising hold that blocks registration until the student meets with the advisor. Few advisors take advantage of this hold.

 

I’m intrigued – how cumbersome is the PIN process for the Registrar’s Office? It sounds like it’s something that’s pretty much built into Banner. Are there other advantages and disadvantages? I think this is something our financial aid and business offices would like due to the reasons Kerry suggested.

Yes, we do require students to meet with advisors, sign an Advising contract, and get their registration pin.  I don’t believe they can register in Banner without an advising PIN.

 

Our only exception is for Non-Degree Seeking students.

Helena College requires an advisor pin for all registrations. The advisors give the pin and it is up to the student to register for classes. Our issue is that students do not go to their faculty advisors and our advising center is slammed at the last minute, but they must meet with an advisor before they can receive the information.

Not all departments at Montana Tech use registration pins.  The advisors that do use them give the pin to the student when they meet for an advising appointment.  Their rationale is that once the student and advisor speak, it is up to the student to make responsible choices based on that conversation.

 

All registration outside those departments is done by the advisor in self-service or with an advisor’s signature on an add/drop card that comes to Enrollment Services.  There are basically no exceptions.  We require advisor approval on all additions or deletions if the student doesn’t have a registration pin.

We require a pin to register online and a signature if the student comes in with a paper form.

Charity,

This is a big issue on our campus from Finance. Their stance is that students have to obtain the PIN and enter it as a way of accepting our terms and conditions relative to payment and enrollment (we have a narrative on our PIN page that talks about those things).

 

We are NOT to release PIN information to students unless there is an administrative approval from the Dean or VPAA.  There are a few exceptions but not many.
