1617 Census Extracts

Dear Colleagues-

After gathering feedback from the campuses, identifying areas of concern, and discussing the various options available we’ve come to the conclusion that we will keep the original census extract deadline dates for the 16-17 Academic Year and foreseeable future. Though there are still concerns with the discrepancies in census numbers, at present there does not seem to be an approach that will allow us to gather the information in a more timely manner that does not cause further problems for at least some campuses. We will continue to encourage campuses to get census extracts completed as quickly as possible after the 15^th class day and will be working on some additional daily statistics gathering that should assist us in our ability to monitor numbers in an effort to be able to provide transparency around the process. We will also be working to find ways to improve the process such that census and end-of-term values will have as little difference as possible and welcome suggestions that will assist in these goals.

We ask that if you deal with requests from the media for this information that you do not release numbers until your census extracts have been run. Making sure we’re all working off the same information will be key to ensuring that any requests to either campuses or OCHE will be repeatable and defensible.

Institutionally Recognized Name and Gender Monthly Update - April 2016

Hi Everyone

Below are the activities of the last month related to the MSU campuses work to adopt an institutionally recognized name.

April

In April we finished up our second round of meetings intended to familiarize all of the major stakeholder groups with the project and take our first steps at identifying reports, processes and integrations which must be reviewed.

April 8^th – Held four-campus Finance/AR conference call with Macalester College and discussed the name solution as well as module specific considerations.

April 14^th – Held four-campus Admissions and Financial Aid conference call with Macalester College and discussed the name solution, as well as module specific considerations.

April 19^th – attended Ellucian Live sessions on supporting an institutionally recognized name and gender.

· One session was presented by Macalester College who is the model for MSU’s solution.

· Ellucian presented upcoming baseline support for “Display Name”. Upcoming baseline changes leverage the use of multiple name types and are in alignment with the design we are moving forward with. Support includes

o Setup form to define name display hierarchy rules which can be used in Banner XE apps such as class roster, student profile and others.

o Deployment of a function call which can be used to call the display hierarchy rules for reports and integrations.

o Setup form and function are currently available in Banner 8.8.5

o Baseline support for apps such as class roster, student profile is schedule for Q4 2016.

o Ellucian plans to follow-up their “Display Name” project with baseline support for gender and pronoun.

April 26^th – Held four-campus HR conference call, provided a demonstration of the name solution and examples of reports and processes such as W-2’s and pay stubs.

April 26^th – Held four-campus Institutional Research conference call with Macalester College. The group briefly discussed the name solution and reporting.

April 27^th – Held four-campus Registrars conference call with Macalester College. The group discussed the name solution, procedures in use at Macalester post implementation experiences and reporting.

Next Steps

· Continue to fill the review document with reports, processes and integrations.

· Work with module area representatives to review the reports, processes and integrations.

Here is the updated draft coding for the STVSBGI table. The list includes all-types of identified PLA (including "other") at all campuses. Some campuses may not use all types of PLA at this point and some institutions with imbedded 2-year colleges may choose to only use one of the potential codes for their PLA at this point in time.

Even if not all codes are used now, our hope is that the list allows for changes in policy or practice as we move forward.

Please share with the appropriate people on your campus and let me know if this works for you or if you would like to make modifications. Once I hear from every campus (can you let me know by next Friday?), I will share with Dena to share with Helena.
